There are several reasons that companies choose to change their manufacturing software.  Of course, each company makes this decision for their own reasons, but if you look at many companies, some common themes begin to show themselves.  Wouldn't it be great if we could all choose a piece of software for our company, install it, and live happily ever after?  Sure it would.  But, we all know that this never happens.  Businesses adopt new processes, technology advances, and change is the only constant in modern business.  Therefore, it is often helpful to have an idea of the more common things that lead to changing manufacturing software.  Armed with this knowledge, you'll be able to select software with your next choice that better prepares you to use the software for a bit longer, allowing you to get the most for your money.

One of the more common reasons that companies choose to switch their mrp software is that their current software lacks some functionality that they need.  When selecting new software, this is also probably the easiest problem to plan for proactively.  The key to avoiding this problem down the road is figure out what kind of functionality you need from new software today and what you might need down the road BEFORE beginning to look at various software choices.  Once you have a clear idea of what, exactly, you'll need the system to do for the next few years, you'll be able to make the right choice.

Another common complaint that you hear a lot from executives that have decided to switch their company's software is the high cost of ongoing maintenance.  Of course, no company really wants to pay for ongoing maintenance, but it is something that is absolutely necessary.  Therefore, when you begin to compare various packages from different vendors, inquire about the ongoing maintenance costs and plan for them accordingly.  You may find that the software that you initially ruled out because of the high up front cost is actually a bargain when you consider the cost of ongoing maintenance.  Conversely, software that appears cheaper up front could end up being extremely expensive to maintain.

A third major reason that companies begin to question their current manufacturing software is that employees or upper management become impatient with the current system.  Even worse, some companies suffer when they install new software and don't see immediate improvements.  You need to be aware that there is a learning curve associated with acquiring new software.  If you fail to account for the time it takes to learn the new system and use it effectively, you could find yourself thinking you need new software before the system you just installed really has a chance.  To avoid this problem, begin the implementation process by laying out a detailed timeline that accounts for the learning curve.  This will help establish realistic goals and will prevent impatience.

Finally, make sure you evaluate vendors based on the level of ongoing support that they provide.  While you may be able to get a great deal on one software package from a particular vendor today, if it will cost you a lot of money to get the support that you will need down the road (don't kid yourself here, you WILL need some support at some point), you will need a quality vendor.  When evaluating vendors based on their ongoing support, do not just take their word for it.  Instead, talk with other professionals in the industry that use the same vendor and check various software reviews and comparisons that are conducted by independent third parties.  These outside sources are often the best places to get unbiased opinions that could potentially save you headaches down the road.

Armed with this knowledge of the most common reasons that companies decide to change their software, you should be able to make a much more sound investment on your next manufacturing software package.  Take the time up front to do your research and make your selection carefully.  Only by doing that will you ensure that the software you choose today will still be the right software tomorrow.
