Office stationery includes a wide range of items that are used for communication within the office as well as with people or organizations outside the office. Before the arrival of intercoms, emails, and internal mails, most of the communication in offices used to be on paper. In fact, it was essential that important communication be sent to different people in physical form, instead of verbal form so that responsibility for lapses, if any, could be pinpointed. Even today, paper continues to enjoy that position amidst other items of office stationery.
For writing on any paper, the individual may use pens or pencils. Alternately, something may be typed on the paper, or printed on it. This means pens, and pencils qualify as stationery items and so does the ribbon in any typing machine, or printer. These days, nobody uses dot matrix printers or typewriters. So consumables used in contemporary printers such as ink in inkjet printer would be classified as stationery item.
Even though most of communication is through computers these days, pens and pencils are still used in offices. Erasers are also essential if pencils are to be used. Likewise, a pencil sharpener may also be needed. Some offices use white inks or fluids to erase some typed or printed matter. When multiple copies of any communication are to be prepared, a photocopier may have to be used. In such cases, the consumable used in this machine would also qualify as office stationery, provided the photocopier belongs to the office.
Any physical communication also needs to be stored in a way that it may be retrieved easily at a later date. Therefore, files and folders were brought into office environment. These are used to store the papers, vouchers, accounts, etc. A punching machine ensures that the gaps between the filing holes made on any paper are consistent. Effectively, such filing does not look untidy. At times, more than one paper may have to be sent across from one table to another table. In such cases, a paper clamp or pin may be used. These clamps allow the person to retain one or more pages forming the set of papers held together by the clamp, and forward the rest to the next table. A similar function is performed by staples, which are affixed with the help of a special object called stapler. Some sticky notes may also be affixed to get the attention of the recipient.
Glue is another office stationery item, which becomes essential for sticking any envelopes, and some postage stamps. Letter openers, trays and stands for opening, holding, and segregating the papers as per priority are also office stationery items. Stamp pads, stamp pad ink, scissors, rulers, scissors, penholder, cardholder, paperweights, etc., are other office stationery items. Apart from all these general items, businesses also have vouchers, which too qualify as stationery item.
